IT rolled out DocuSign, and the company lawyer said it is worthless for employment contracts. And they are right: an email-link signature only proves that somebody opened a message. So paper it stayed.
Paper eats the budget
Printing, envelopes, couriers, two copies, scanning, filing. Several thousand forints each time, and nobody adds it up to see what it comes to by the end of the year. With several thousand employees, it becomes a budget line of its own.
HR spends its time on admin
Multiple sites, documents that go missing, signature rounds that drag on for weeks. Your team is not doing HR work, it is chasing paper.
All three problems lead to the same place: you have no system that holds up legally and also fits the way you work. That is exactly what the i4p signing portal provides.
Three steps to a signed document
It does not require a project or a months-long rollout. This is what it looks like in practice.
You prepare the document
You start an employment contract, an agreement or any other document from your existing templates. The system can prepare several hundred documents at once, so you do not have to deal with them one by one.
You send it out and track it
The employee opens and signs it from any device, including their phone. Meanwhile you see in real time where the process stands: sent, opened, signed.
A signature that holds up in court
The document receives an eIDAS-compliant signature and a qualified timestamp. Legally it means the same as a handwritten signature, only it takes minutes and no paper.
Two pyramids decide what your signature is worth
One question is where the system runs. The other is who it identifies. You choose the level freely in both; switch between the two.
You start from where you are today
Most competitors offer a single deployment model. DocuSign, for example, offers only the shared cloud, and does so as a US provider. i4p covers almost the entire pyramid, you choose the level, and your data stays in the EU throughout, with no dependency on the United States.
Physical Trident HSM in your own data centre
The Signing Portal is installed on a hardware device standing in your own data centre. Your keys are physically protected; there is no more secure arrangement. This is where QSCD certification comes in, as the option for the highest level.

Your auditor will appreciate this too. If they require an on-premise solution or rule out shared cloud, with us you have somewhere to move. You do not have to change systems, only levels within the pyramid.

One common market model: roughly HUF 40,000 per certificate per year, with unlimited signatures. It pays off for anyone signing more than two hundred documents a year.

Per-transaction fee
The other model comes at a low price (as little as HUF 0): the certificate costs nothing and you pay per signature, roughly EUR 1.5. It pays off for anyone who signs rarely.
For the mass of employees who sign rarely
A company of 8,000 people is not really 8,000 identical signatories
In practice that means 1 executive, a 5-person HR team, around 100 office workers and 7,900 blue-collar employees. The executive and HR sign a lot, so the annual certificate suits them. The 7,900 workers, on the other hand, sign only a few times a year: when they receive their tax certificate, request leave or amend a contract.
Working out which arrangement pays off is not your job. Being independent, we mix the best combination for your organisation.

Does Hungarian employment law accept a Signing Portal signature?
Yes. The Signing Portal produces qualified or otherwise eIDAS-compliant electronic signatures, which are equivalent to a handwritten signature under Hungarian and EU law, including the written form requirements of employment law.
Legally, what is an email-link, DocuSign-style signature worth?
That kind of approval essentially proves that somebody opened the email. It does not reliably identify the person: if someone opens a Gmail address under an arbitrary name, that in itself proves very little. The Signing Portal, by contrast, ties the signature to a corporate login or a certificate.
What is the difference between a qualified and an advanced electronic signature?
A qualified electronic signature has the strongest legal effect and is fully equivalent to a handwritten one. An advanced electronic signature based on a qualified certificate comes very close in legal effect but is simpler to operate, which makes it the practical choice for most corporate processes.
What happens if my auditor requires an on-premise solution?
That is no problem either. You simply move up the deployment pyramid: the same Signing Portal runs on your internal network or in your own data centre, without you having to change systems.
Does everyone in the company need their own certificate?
Not necessarily. Executives and the HR team, who sign a lot, are usually best served by an annual certificate, while the mass of employees who sign rarely are better off on the per-signature transaction model. Because we are independent, we mix the two to suit your organisation.
How much does it cost to integrate my existing systems?
The Signing Portal's machine interface is part of the package. Connecting your existing ERP or HR system is done on their side by your own IT staff or by the vendor of that system. We support you in this, and on request we will carry it out for you under a separate engagement.
How does an employee sign on their phone?
They receive a link, open the document in a browser and authenticate themselves with biometric identification.
Can the system handle stamps as well?
Yes. The Signing Portal handles signing on behalf of the company with a stamp, biometric signatures, and photo and IP address capture, all within one system.
